Adding and Managing Participants

In order for a person to participate in the deliverables exchange process, they must be a participant of the project. Each project can have internal participants and external participants. Internal participants are typically those participants who belong to your organization, and external participants are typically those participants who belong to another organization.

Internal participants are added to the project, and external participants are invited to the project. Internal participants receive an email notifying them that they have been added to the project, and external participants receive an email inviting them to the project which they can accept or reject.

All participants must have:
  • a Bentley Profile (a Bentley IMS account), in order to log in to ProjectWise Deliverables Management.
  • an email address, in order to receive email notifications about the packages they are sending and/or receiving
Note: It is the responsibility of each participant to register (create) their own Bentley Profile.

Your participants can be all ProjectWise Explorer users, all portal-only users, or a mix of both. Portal-only users send and receive deliverables exclusively from the ProjectWise Deliverables Management portal. ProjectWise Explorer users can send and receive deliverables either from the ProjectWise Deliverables Management connector for ProjectWise Explorer or from the ProjectWise Deliverables Management portal.

The person who turns on ProjectWise Deliverables Management in the ProjectWise project is the default ProjectWise Deliverables Management administrator and has the title, Project Manager. As the administrator, the Project Manager begins adding and inviting participants to the project and configuring their permissions as needed. Initially, the Project Manager is the only participant who has the Admin permission. Anyone with the Admin permission can make other internal participants administrators, or even remove their own Admin permission. Also, any Bentley IMS administrator (Account Admin, Co-Administrator, or CONNECT Service Admin) who enters the ProjectWise Deliverables Management portal of their organization's project is automatically added as an administrator of the project (internal participant with Admin permission). This provides a way for other members from your organization to take over as administrator in the event that the current administrator happens to be away, or has left the organization.

Internal participants with the Admin or Issue package permission can invite external project participants. Any internal participant can add another internal project participant to the project, however, the internal participant who is doing the adding can only give the new internal participant the same permissions as they have, or less; they cannot give another participant more permissions than they themselves have.

You can add portal-only internal participants to the project from either the ProjectWise Deliverables Management portal or the ProjectWise Deliverables Management connector for ProjectWise Explorer, but you can only add ProjectWise Explorer users to the project from the ProjectWise Deliverables Management connector for ProjectWise Explorer.

Also, while you can invite new external participants to the project while you are adding recipients to a draft transmittal, RFI, or general correspondence from either the ProjectWise Deliverables Management portal or the ProjectWise Deliverables Management connector for ProjectWise Explorer, the external participants list is ultimately managed from the Supply Chain Portal in the ProjectWise project in the CONNECT Center.
